Brittany’s team was up and running with AI Studio, but their credit consumption was waving some red flags 🚩 She was afraid to mess around with it too much since the automations were already up and running, but the current rule set-up was costing them almost 1700 credits per request. 

Each new request triggered a series of 5-6 rules leveraging Asana AI to scan the task name for keywords, determining where the request should be routed next.

Simplifying triage to reduce AI load

There are a few ways that simplification would reduce the AI consumption for this process.

  1. Process Change: Integrating custom fields to the request process, removing the need for AI processing for the conditional check.

  2. Feature Usage: Replace AI check conditions with Script Actions. Asana Ambassador, Arthur, tackled this exact issue in his Forum post Use Script Actions to Make the Most of your AI Studio credit, so I was quickly able to grab his script and replace the values with Brittany’s.

  3. Simplify Automation: Condense 5-6 rules into a single rule with multiple branches. We were able to recreate this scenario live and discovered that this approach significantly reduced credit usage.

After walking through these 3 options, Danielle took a shot at condensing her rules into one single rule. This reduced the lift needed to completely overhaul the process (adding custom fields) or learn a new skill quickly (Script Actions) while providing immediate results.

Within 1 hour of the webinar, Brittany reduced her team’s credit consumption per rule from 1700 credits to 500.

Additional Resources

In Brittany’s case, the LLM they were using was using a low amount of credits - They were just adding up quickly as a result of inefficiency in the rule build. For others, choosing an LLM that utilizes a lower credit consumption may have a greater impact.

Of course, if you don’t have experience coding or an engineer at your disposal, this one may not be as accessible an option. However, there are some really great resources out there to help you get started.
